Register with ResearchMatch as a researcher for feasibility and recruitment access

ResearchMatch is a secure NIH sponsored volunteer registry that is available to all research team members at Ohio State. By registering as a researcher on ResearchMatch, researchers automatically obtain feasibility access and may view and search aggregate data within ResearchMatch.

NEW! ResearchMatch is now available in Spanish! If you have IRB approval, you can message Spanish-speaking volunteers with your IRB approved Spanish contact message. Use the new language filter on ResearchMatch indicating that your message is in Spanish.

Those researchers who go on to obtain IRB approval for recruitment access within ResearchMatch will be able to contact the many locally and nationally registered volunteers.

Guidance and Message Template for IRB Submission for Use of ResearchMatch.org

ResearchMatch (RM) is an NIH sponsored national registry for research volunteers. ResearchMatch (RM) and Ohio State have had a fully executed agreement since August 2009. The IRB of record for ResearchMatch is Vanderbilt University.  

ResearchMatch Recruitment Message for This Protocol---Template 

PLEASE NOTE: We encourage you to contact Institutional Liaison Mary.Becker@osumc.edu and Clara.Kalis@osumc.edu for assistance drafting the message for your protocol prior to IRB submission. Once IRB approved to use RM, please contact Liaisons to schedule an appointment for assistance to complete your first search for volunteers.  

The message must be under 2000 characters. Bolding and bulleting adds hidden characters. The message SHOULD NOT include identifiable contact information such as research team email addresses, phone numbers or websites This will help ensure that volunteers respond through the ResearchMatch quick links provided in the email message they receive regarding this study. Your message for which you are seeking approval should be placed in the blank area below the intro: “A research team…”

The approved ResearchMatch message will be routed to those ResearchMatch volunteers who fit your study inclusion criteria; ResearchMatch will provide hyperlinks at the close of the message that will allow volunteers to respond “yes” or “no” to the invitation to release their contact information to this study. A “yes” response will release their contact information to the researcher. If volunteers click “yes” they are reminded again that their contact information will be released. If the volunteer clicks “no” or ignores the message, the researcher will not receive any information about the potential volunteer.

CREATING A RESEARCHMATCH FEASIBILITY ACCOUNT:

(Anyone with an Ohio State email can create a feasibility account)

  1. Log into https://www.researchmatch.org
  2. On the top banner on the page, click on “RESEARCHERS.”
  3. You can then easily follow the steps, or view the “registration tutorial video” for extra help.
  4. Please remember your log in and password.
  5. If you are at all confused, please call one of the RM liaisons and we’ll be happy to provide extra guidance.

CREATING A RESEARCHMATCH RECRUITMENT ACCOUNT:

(One must have IRB approval to use ResearchMatch for recruitment.  More: Contact liaisons and guidance)

  1. You will be prompted to supply information about the PI, the study and to upload your IRB approval letter.
  2. Once you have registered the study, ResearchMatch will contact the PI to approve your proxy access.
  3. Once the PI approves your access, the liaisons will be contacted.
  4. The liaisons will review your IRB approval and will set the expiration date.
  5. Once liaison has set the expiration date, you will receive an email asking you to verify the request.
  6. Liaisons will help you with your first recruitment search to assure best practices and best results.

Tips for Creating a Contact Message

Your contact message serves as your study’s first introduction to volunteers. It is a key deciding factor in a volunteer choosing whether or not to release their contact information. Make it count!

Your contact message serves as your study’s first introduction to volunteers. It is a key deciding factor in a volunteer choosing whether or not to release their contact information. Make it count!

 

1. Focus on meaning: highlight why the study matters and how the results will be used 

2. Make important details of the study clear: include key details around eligibility, time required to participate, and compensation

3. Language: Use clear, concise language and simple medical terms (use resources like The Ohio State University’s plain language medical dictionary)

4. Use formatting to your advantage: avoid long blocks of text and use bullet points to visually break up long sections 

5. All research is voluntary, some offers compensation: inform your potential participants if you will compensate for their time  

6. It must be IRB approved.

In addition, the ResearchMatch team recently presented a Trial Innovation Network Collaboration webinar focused on optimizing recruitment messaging, utilizing REDCap survey options, returning value to research participants and strategies when using ResearchMatch during the time of COVID-19.
